Flexperto is a German B2B SaaS fintech that empowers enterprise sales agents - particularly in the banking and insurance sectors - to manage customer appointments and communication with ease. Trusted by over 100 leading enterprises across Europe and the DACH region, Flexperto provides a centralized platform designed specifically for 1-on-1 customer interactions. It equips sales consultants with everything they need to build and maintain strong relationships online - from scheduling and messaging to video calls and e-signatures - all in one seamless interface.

Flexperto's mission is to remove friction between sales consultants and their customers. We partner with leading European banks and insurance providers to offer a digital communication layer for 1-to-1 customer interactions. Flexperto transforms traditionally in-person sales processes into seamless digital experiences.

Core features include:

  • Scheduling Calendar – Lets customers book appointments based on real-time consultant availability.
  • Online Meetings – Secure, browser-based video calls powered by WebRTC.
  • E-Signature – Enables consultants to create custom documents and collect legally binding signatures.
  • Omnichannel Messenger – Centralizes communication across SMS, WhatsApp, Facebook Messenger, and other popular channels.

As a solo designer at Flexperto, I’ve been responsible for:

  • Leading the redesign of Flexperto’s platform to improve functionality and user experience, later integrating AI for smarter, more intuitive interactions
  • Grounded design decisions in user research - conducting interviews, surveys, and analyzing behavior with Heap Analytics
  • Optimizing onboarding flows to boost user engagement and drive product adoption
  • Collaborating closely with product managers and developers to align design with business goals throughout the development lifecycle
  • Streamlining the design-to-development handoff to ensure timely MVP delivery
  • Building and maintaining a scalable design system to ensure visual and functional consistency across the product suite

Project Overview

Flexperto is widely used by consultants, financial advisors, and insurers to run digital client meetings. But many of these professionals also held on-site meetings where they couldn’t rely on Flexperto’s online features. This created a disconnect: meeting notes, documentation, and insights from offline conversations often lived outside the platform, making it harder to keep track of client interactions. Flexcorder was built to close this gap. It’s a companion app that lets users capture memos, recordings, and AI-powered insights during on-site meetings — and then seamlessly integrate them back into Flexperto. The result: one unified system for client relationship management (CRM) and documentation, no matter where the meeting happens.

  • My Role: Product Designer (UX research, user story mapping, prototypes, UI design, design system integration)

  • Collaboration: PMs, developers, customer success, and real users

Challenge

We set out to design an app that could:

  • Enable users to capture information quickly during on-site meetings
  • Ensure that memos, transcripts, summaries, and action items are synchronized with Flexperto
  • Balance security, accessibility, and efficiency
  • Feel like a natural extension of the existing Flexperto platform

Research & Insights

To understand how offline documentation was being handled, we conducted interviews with users and customer success teams. The findings were clear:

  • Fragmented documentation - Notes taken on paper, in separate apps, or left unstructured never made it back to Flexperto.
  • Compliance risks - Missing documentation meant gaps in CRM history. Extra workload - Advisors had to manually retype or upload notes, which often got skipped.

Users wanted one place for everything - a consistent CRM history with both online and offline meetings captured in the same system.

From concept to completion

Flexcorder was shaped through continuous collaboration with stakeholders and end users. From early prototypes to the beta version, we ran structured feedback loops to refine every aspect of the app. Research and user testing informed key design decisions around:

  • Navigation & Flow: Were users able to find features intuitively? Did the app require unnecessary steps to create a memo?
  • Efficiency: Could we streamline the user journey from recording to exporting without sacrificing functionality?
  • Import & Export Experience: What was the most natural way for users to bring content in and take it out?
  • Payment & Credit System: How did users feel about paying to top up credits, and what friction points existed?

Each round of feedback informed new iterations, ensuring that usability and accessibility remained at the core.

Design Process
  • User Story Mapping – Visualized workflows across both online and offline meetings to ensure consistency.
  • Wireframes & Prototypes – Explored how memos, recordings, and transcripts could be captured offline and then imported.
  • Testing & Feedback Loops – Real users tested memo creation, exporting, and syncing, helping refine navigation, payment handling, and import/export.
  • Iteration & Integration – Incorporated insights into the design while maintaining alignment with Flexperto’s design system.

The Solution

  • Seamless Integration – Import memos directly into Flexperto so all customer interactions - online and offline - live in one place.

  • Secure Sharing & Export – Built with compliance and enterprise needs in mind.

Impact

  • Successful beta launch on the App Store, making Flexcorder available to early users.
  • Analytics in place to track usage patterns and identify opportunities for optimization.
  • Continuous improvements driven by real-world insights and iterative updates.
  • Insights show reduced friction and risk of lost or incomplete documentation by centralizing notes and meeting records.
  • Strengthened Flexperto’s value proposition by extending its ecosystem beyond virtual consultations and into offline workflows.

Marketing assets

I was also responsible for designing a wide range of marketing materials, including social media content, website assets, and presentation designs. Additionally, created a teaser video for the product launch using Premiere Pro. All tasks were carried out in collaboration with the marketing team to ensure alignment with campaign objectives and branding guidelines.
